Operating Hours

vOffice Philippines Inc. hereinafter referred as VPI will provide the stipulated service during business hours from 8:30 am to 7:30 pm Monday to Friday and VPI will adhere to any public holidays in accordance with the Philippine law for the Metro Manila Philippines. VPI may also declare certain business day as off day(s) provided that if VPI were to give prior notice of at least 5 working days in advance.

Suspension & Terminations

The Client understand that VPI in its sole discretion, may terminate, and suspend your service(s) at any time, with or without notice(s), in relation to any outstanding invoice(s) or if any part of this Agreement is breached.

In the event of any early termination of this service prior to the expiration of the Service Agreement, Client shall pay to vOffice a compensation equal to the remaining contracted period monthly service fees as stated in the Service Agreement. The Client will as well be responsible for vOffice's reasonable costs in recovering any monies owed under this Service Agreement. VPI immediately reserved the rights to re-assign any services we offered to the Client to another party and VPI will discard any mails, parcels, items which belong to the Client if the item is not collected after 14 days of such suspension or termination. VPI will not be liable for any losses or claims or whatsoever that may arise from such instances.

The deposit can be used to complete your contract for early termination, otherwise it will be refunded should you complete the whole period.

Any usage of our service(s) after such termination or suspension shall be deemed as an act of trespassing.


The Client indemnifies and agrees to hold VPI harmless from and against any claims by the Client, and/or any employee, agent or invitee of the Client for any loss, damage, expense or claim, loss of information, damage or any errors including whether caused by any act or omission of VPI.


Any telephone number assigned to Client by VPI shall remain the property of VPI.

It is understood that VPI is only offering a service to you and is not affiliated nor related to the Client. VPI will not be your guarantor and/or responsible for any loan, credits, borrowing of money. Should we receive any threat from any party that affects our employees (emotionally or physically), premises or business operation, VPI will report the case to the Police immediately and VPI reserved the rights to terminate your service immediately without any compensation.

VPI may transfer our obligation to you to another location if necessary provided that VPI give a 21 days advance notice.

VPI may modify this Term of Use Agreement at its sole discretion and will be considered as accepted by you upon VPI notification to you of that changes through our primary communication channel and did not receive any objection from your within 72 hours of notification.

VPI will only provide storage of your mails, parcels or items for the time frame stipulated on the package/plan you sign up for and VPI has the rights to discard any items not collected after that period of time plus 14 days grace period.

Any items delivered to our office via normal post, hand or courier which is not addressed clearly to the recipient or if the address differs from what we have on our records will be discarded. VPI will certainly endeavor to identify the rightful owner but if VPI failed to identify the recipient, VPI will discard the item after 21 days of the date of taking delivery.

Modification of Service

VPI may at any time modify or discontinue, temporarily or permanently, VPI services (or any part of them) with or without notice and liability to anyone. Should price increases become necessary, VPI will give the customer 21 days notice in writing / email.


The laws and jurisdiction of Metro Manila, Philippines shall govern any and all matters of dispute between VPI and Client.


VPI primary communication channel shall be via email and emails sent through VPI Corporate Email Server to the email address provided by the Client on the registration form shall be deem as delivered, accepted and understood from the time it is sent. It is the Client's responsibility to update VPI with his/her latest working email address in the event of any changes differing from that stipulated in the registration form.


VPI makes no representations or warranties, express or implied, of any kind to Client or third party regarding VPI services. VPI shall use reasonable efforts to provide the agreed upon services however, in no event, shall VPI be liable to Client, or any third party, for any claims for loss or damages as a result of any action or inaction by VPI.

Fraudulence use of service

The Client agrees that he/she will not use VPI name, services, and premises for any illegal, fraudulent, illicit, unfit, unethical purpose. VPI is the sole arbitrator to decide on the validity of the Client purpose of using our services..It is agreed that VPI is not responsible for any international civil and criminal law violations on Client's part.

VPI accepts no legal responsibility or liability for the handling of call on the Client's behalf (whether unregistered, registered, certified or insured), or for any action, event or expense associated with or arising from the handling of the calls. The Client reserved the rights to the privacy of your mails with VPI but if it is deemed to be suspicious, we preserved the rights to unwrap or open the mail, parcel, courier or any questionable items delivered to our premises for the Client without the Client's prior agreement.

Client Privacy

VPI guaranteed that all customers information will be kept with strict confidentiality and will not be sold or release to any 3rd party however VPI is at it's sole discretion to preserved the rights to release the Client information to a 3rd party if VPI suspect or believe that the Client has breach any part of this Agreement.

Return Check

If a check is returned by your financial institution for any reason, a PhP1,000 charge will be assessed and the client shall settle the agreed payment within 48 hours from the date of our notification. vOffice may use all available legal channels not excluding the right to file estafa case against the client to recover any losses vOffice may incur.

Payment terms

Our service to you will be auto renewed by itself at the original price, plan and billing cycle at the end of each billing cycle unless you notify us of otherwise. Our billing system will automatically generate a new invoice for you at the end of your billing cycle for the same renewal and the invoice shall be consider delivered and accepted by you unless you inform us 72 hours after the invoice is sent to your email address on our system.

It is understood that the only way to confirm that you wish to cancel your service and obligation to us is by completing VPI Official Service Cancellation Form which can be obtain from our website at www.voffice.com.ph/cancel_ph_service.pdf or by contacting us at +63 2 224 2000 to request for a fax copy of the cancellation form. You should receive an acknowledgement from us once we have verified and process your cancellation.

Matters beyond our control

We shall not be held liable for any breach of these Terms and Conditions caused by circumstances out of our control, including acts of God, fire, lightning, flood or extremely severe weather, explosion, war, disorder, industrial disputes (whether or not involving our employees) network and equipment failures, power failures or acts of local or central Government or other competent authorities.

Section 1 : Information Collection


In order to usevOfficeservices at any level, and to access certain information or areas of the website, a user must first complete the registration form. During registration a user is required to give contact information (such as name, telephone number or an email address). We use this information to contact the user about services on our sites


We store information that we collect through cookies and log files to create a profile of our users. A profile is stored information that we keep on individual users that details their viewing preferences. Consequently, collected information is tied to the user's personally identifiable information to provide offers and improve the content of the site for the user. This profile is used to tailor a user's visit to our Web sites, and to direct pertinent marketing promotions to them. When a user purchases a paying service, we request information from the user on our order form. A user must provide contact information (such as name, email, and billing address). If we have trouble processing an order, the information is used to contact the user.


A cookie is a piece of data stored on the user's computer tied to information about the user. Usage of a cookie is in no way linked to any personally identifiable information while on our site. We use both session ID cookies and persistent cookies. For the session ID cookie, once users close the browser, the cookie simply terminates. Section 2: Information Use and Sharing of Information

vOffice will not monitor, edit, or disclose the contents of a user's private communications unless vOffice in good faith believes that such action is necessary to: (1) conform to the edicts of the law or comply with legal process served on vOffice; (2) protect and defend the rights or property of vOffice; or (3) act under exigent circumstances to protect the personal safety of its users or the public. Subject to the legal exceptions listed in the Privacy Policy, vOffice will not disclose to third parties the fax numbers, phone numbers or email addresses uploaded to our Web sites by our users for the purpose of using vOffice products or services.

Communication from the web site

Special Offers, Free Trials and Updates

We send all new customers welcoming emails and may communicate with them to introduce and explain their new services. Visitors to our website that are not customers but providevOfficewith contact information may receive emails fromvOfficethat contain information about our services, special offers and other promotions. Established users will occasionally receive emails containing information about us, updates on new service features, service usage tips, information about third party services or othervOfficeservices that are likely to be of interest to our users, and customers satisfaction questions. We may contact former customers to gather feedback on the services.

Invoices and Account Statements

We send all customers regular emails on invoices of the charges. These emails are a part of the vOfficeservice, and users cannot opt-out of receiving them, though they can deactivate their account.

Services Announcements

On rare occasions it is necessary to send out a strictly service related announcement. For instance, if our service is temporarily suspended for maintenance we might send users an email. Generally, users may not opt-out of these communications, though they can deactivate their account. However, these communications are not promotional in nature.

Customer Services

We communicate with users on a regular basis to provide requested services and regarding issues relating to their accounts. We reply via email or phone, in accordance with the users wishes.


Legal Disclaimer

Though we make every effort to preserve user privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our Web site. For example,vOfficemay disclose personal information to law enforcement, other government officials, or third parties in response to criminal or civil subpoenas. Sometimes, these requests come from our third party Internet, telecommunications and service providers all over the world who supply the network required for us to deliver our services. In order to maintain the integrity of our network, we often cooperate with requests from these third party providers and/or requests from law enforcement or other governmental officials directed to these providers.

Aggregate Information (Non-Personally Identifiable)

We may share aggregated demographic information with our partners. This is not linked to any personally identifiable information.

Third Party Intermediaries

We use an outside credit card processing company to bill users for goods and services. These companies do not retain, share, store or use personally identifiable information for any secondary purposes

Business Transitions

In the eventvOfficegoes through a business transition, such as a merger, or acquisition by another company, or selling a portion of its assets, users' personal information will, in most instances, be part of the assets transferred. Users will be notified prior to a change of ownership or control of their personal information. If as a result of the business transition, the users' personally identifiable information will be used in a manner different from that stated at the time of collection they will be given a choice not to have their information used in this different manner, as described in the notification of changes section, below

vOffice Web sites contain links to other sites. Please be aware that vOffice is not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our sites and to read the privacy statements of each and every Web site that collects personally identifiable information. This privacy statement applies solely to information collected by vOffice Web sites. vOffice has advertising and affiliate relationships with dozens of third party sites that drive interested parties to our sites. Information that is collected on these sites does not fall within the auspices of this policy.

Section 4: Safeguards and Data Retention

User Information

vOffice takes every precaution to protect its user's information. When users submit sensitive information via vOffice Web sites, their information is protected both online and off-line. When our registration/order forms ask users to enter sensitive information (such as credit card number), that information is encrypted and is protected with the best encryption software in the industry - SSL. While on a secure page, such as our paid order form, the lock icon on the bottom of Web browsers such as Netscape Navigator and Microsoft Internet Explorer becomes locked, as opposed to un-locked, or open, when users are just 'surfing'.

While we use SSL encryption to protect sensitive information online, we also employ security measures to protect user-information off-line. All of our users' information, not just the sensitive information mentioned above, is restricted in our offices. Only employees who need the information to perform a specific job (for example, our billing clerks or a customer service representative) are granted access to personally identifiable information. Finally, the servers that store personally identifiable information are in a secure environment.

Data Retention

The time period for which we keep information varies according to what the information is used for. In some cases, there are legal requirements to keep data for a minimum period. Unless there is a specific legal requirement for us to keep the information, we will retain it for no longer than is necessary for the purposes for which the data was collected or for which it is to be further processed.

Section 5: Supplementation of Information

In order for vOffice to properly fulfill its obligations to users and understand our customer demographics it is necessary for us to supplement the information we receive with information from 3rd party sources. vOffice verifies the billing address on all credit card transactions and may obtain credit reports for some corporate customers. The information obtained from these third party sources is maintained in a manner consistent with vOffice Privacy Policy.

Section 6: Correcting / Updating / Deleting / Deactivating Personal Information

If a user's personally identifiable information changes (such as zip code, phone, email or postal address), or if a user no longer desires our service, we provide a way to correct, update or delete/deactivate users' personally identifiable information by contacting Flexi Phone System Customer Service.

Section 7: Notification of Changes

If we decide to change our privacy policy, we will post those changes in this privacy statement, and other places we deem appropriate, so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We will use information in accordance with the privacy policy under which the information was collected.
If, however, we are going to use users' personally identifiable information in a manner different from that stated at the time of collection we will notify users via email. Users will have a choice as to whether or not we use their information in this different manner. However, if users have opted out of all communication with the site, or deleted/deactivated their account, then they will not be contacted, nor will their personal information be used in this new manner. In addition, if we make any material changes in our privacy practices that do not affect user information already stored in our database, we will post a prominent notice on our Web site notifying users of the change. In some cases where we post a notice we will also email users, who have opted to receive communications from us, notifying them of the changes in our privacy practices.
